Terms & Conditions

Last updated: 26 October 2026

1. About These Terms

These Terms govern your use of MyClinicBooking: the website https://myclinicbooking.com, the booking widget that clinics embed on their own websites, and our related services (together, the "platform"). The platform is operated by Maja Vella, 29, Triq Alessandru, Birzebbuga BBG 2303, Malta (VAT number MT25516128) ("we", "our", "us").

By creating an account or booking an appointment, you agree to these Terms. Our Privacy Policy explains how we handle personal data. Clinics also agree to our Data Processing Agreement.

2. What the Platform Does

  • Patients can find clinics, pharmacies and doctors, see available appointments, and book, reschedule and cancel them. They also receive confirmations and reminders by email or SMS, and can add appointments to Google Calendar.
  • Clinics can publish their profile, manage doctors, rooms and schedules, receive and manage bookings (including walk-ins and phone bookings), send notifications to patients, and add a booking widget and QR codes to their own channels.

We are not a healthcare provider

MyClinicBooking is a booking platform. We do not provide medical advice, diagnosis or treatment, and we are not responsible for the services that clinics and doctors provide. Clinics and doctors are independent and are solely responsible for their healthcare services, clinical decisions and medical records.

In an emergency, call 112. Do not use the platform for urgent medical help.

3. Your Account

  • Accounts are for people aged 16 and over. Appointments for younger children should be booked by a parent or guardian using their own account.
  • Give accurate information, including a phone number where you can receive appointment messages, and keep it up to date.
  • Keep your password confidential. You are responsible for activity on your account. Doctors and clinic administrators must change the temporary password they receive by email at their first login.
  • You can sign in with Google. In that case, Google’s terms also apply to your Google account.
  • Patients can delete their account at any time under My Account (see section 4 for bookings inside a clinic’s notice period).

4. Bookings, Cancellations and No-Show Fees (Patients)

  • Appointment availability is set by each clinic. A booking is confirmed when it appears in My Appointments, and we confirm it by email or SMS.
  • Please cancel or reschedule as early as possible. You can do so in My Appointments.
  • The clinic may delay, reschedule or cancel an appointment. In that case, we will notify you, and no fee is charged to you.

No-show and late-cancellation fees

Some clinics charge a fee when a patient does not attend or cancels too late. If a clinic does, the fee and its cancellation notice period are shown before you book, and you must save a payment card to book. By booking, you authorise us to charge that card, through our payment provider Stripe, for the fee if:

  • you cancel within the notice period;
  • you move the appointment to a different clinic within the notice period;
  • you delete your account while you have a booking within the notice period; or
  • the clinic records that you did not attend.

If a charge fails, we email you and try again about one day and then about three days later. After three failed attempts for the same appointment, your account is blocked from new bookings, and we email you a secure link to pay. Your account is unblocked as soon as the fee is paid.

If you believe a fee was charged in error (for example, you attended or cancelled in time), contact the clinic or us at info@myclinicbooking.com within 30 days. We will review it with the clinic and refund the fee if it was charged wrongly.

5. Terms for Clinics

Joining

  • Clinics apply through the registration form. We review each application and may approve or reject it.
  • You must be authorised to act for the clinic, and you are responsible for the accuracy of your profile, prices, schedules, doctors and rooms.

Subscription

  • Clinic features require a paid subscription. It is charged to your card through Stripe, at the price and billing interval shown when you subscribe, and renews automatically until you cancel it.
  • You can cancel your subscription in Settings. Cancellation takes effect immediately, and fees already paid are not refunded unless the law requires it.

SMS credit

  • SMS notifications to patients are paid from your prepaid SMS credit. Top-ups are charged to your card, plus VAT at the Maltese rate (currently 18%), and an invoice is issued for each one.
  • If you turn on automatic top-up, we charge your card according to the top-up settings you choose.
  • If your credit runs out, notifications are sent by email instead of SMS.

Your obligations

  • You are the data controller for your patients’ appointment information, and you must comply with the GDPR and the Data Processing Agreement.
  • Only enter patients’ details (for example for walk-ins or phone bookings) with their knowledge, and only for booking purposes.
  • Set fair no-show fees and notice periods, apply them honestly, and only mark a patient as a no-show if they did not attend.
  • Keep your medical records outside the platform, as required by your professional obligations. Do not put clinical information in appointment notes.

6. Acceptable Use

You must not:

  • make bookings you do not intend to keep, or book on behalf of others without their permission;
  • provide false information or impersonate anyone;
  • try to access accounts, data or parts of the platform you are not authorised to use;
  • interfere with the platform, for example by automated scraping or by attempting to overload it; or
  • use the platform for anything unlawful.

7. Third-Party Services

Payments are processed by Stripe, messages are delivered through Bird, and Google provides sign-in, Calendar and maps. These services have their own terms, and we are not responsible for their availability.

8. Availability and Changes to the Platform

We aim to keep the platform available and reliable, but we do not guarantee uninterrupted service. We may change or improve features over time. If a change materially reduces what a paying clinic receives, we will tell the clinic in advance.

9. Intellectual Property

The platform, its software, design and the MyClinicBooking name and logo belong to us or our licensors. Clinics keep ownership of the content they upload, such as photos and descriptions, and give us permission to display it on the platform.

10. Liability

  • We are not liable for the healthcare services provided by clinics and doctors, or for appointments that a clinic changes or does not honour.
  • To the extent permitted by law, we are not liable for indirect or consequential loss, or for loss caused by events outside our reasonable control.
  • Nothing in these Terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, for fraud, or your rights as a consumer under Maltese and EU law.

11. Suspension and Termination

We may suspend or close an account that breaches these Terms, is used fraudulently, or (for clinics) has an unpaid subscription. Where reasonable, we will warn you first. You may stop using the platform at any time.

12. Changes to These Terms

We may update these Terms. The date at the top shows when they last changed. If we make important changes, we will tell registered users before they take effect. If you continue using the platform after that, you accept the updated Terms.

13. Governing Law and Disputes

These Terms are governed by the laws of Malta, and the courts of Malta have jurisdiction. If you are a consumer living elsewhere in the EU, you also keep the protection of the mandatory laws of your country and may bring proceedings there.

Please contact us first; most issues can be resolved quickly.
